For several reasons we are keeping the specific company unknown, but it is a PR firm that his head-quartered in New York City and has a smaller Washington DC office, where this role is based.

The Organization’s clients are at the forefront of progressive work around racial justice and civil rights, low-wage worker advocacy, voting rights, economic security, the environment, affordable housing, human rights, LGBT issues, healthcare, education, money in politics, and ending mass incarceration.

About the Role – Executive Assistant

A Koya Client is seeking an Executive Assistant in a growing, fast-paced Washington DC office.

This person will provide administrative support to the division’s Managing Director and Executive Vice Presidents and be responsible for managing scheduling, travel arrangements and meeting logistics, and providing general administrative support. The person will also have the opportunity to lead some special projects.

You are someone who works well with a team and also independently; have exemplary organizational skills with the ability to multi-task and respond to rapidly changing priorities; and have superior interpersonal skills, high self-awareness, and sound judgment.

Your responsibilities will include:

Providing high level administrative and operational support 

  • Managing complex calendars including coordinating scheduling and logistics for internal and external meetings.
  • Arranging travel, including flights, lodging, transportation, and expense reports.
  • Anticipating, responding to, and preparing for upcoming meetings and events including drafting correspondences, creating research briefings, and preparing meeting materials.
  • Promoting a positive organizational culture, setting an example for others by modeling a collaborative, communicative working style.

Providing systems, operations, and special project support 

  • Contributing your problem-solving skills and idea generation to figure out smart ways to move projects forward and build sustainable systems.
  • Maintaining a pulse on the organization and proactively identifying areas in need of attention.
  • Conducting research across work streams to inform key organizational structures with best practices or providing strong evidence-based recommendations for executive decisions.
  • Maintaining a high level of confidentiality and detail orientation to support the completion of each special project with fidelity.

What you’ll need:

  • PROFESSIONAL EXPERIENCE –  You have 2-4  years of experience providing effective support and office coordination in a fast-paced, entrepreneurial setting.
  • DISCRETION – You can practice discretion and have the ability to maintain confidentiality as needed.
  • MISSION-ALIGNMENT – You are passionate about progressive causes and excited to have a career supporting this important work.
